Starting E-Learning Assignments
You must have the default Administrator, Supervisor or Agent role or a custom role that includes these permissions to use the My Engage Dashboard and widget:
- Administration > Enable My Engage
- Administration > Enable My Engage > My Evaluations
- Administration > Enable My Engage > My Coaching
- Administration > Enable My Engage > My E-Learning
For an agent to start an E-Learning assignment, the agent logs into My Engage - My Assignments using their User ID and password, and double clicks on the desired assignment to open it.
- On the My Engage - My Assignments tab, locate the E-Learning Assignment desired to start in the window.
- Double click on the assignment. The assignment's tab appears next to the My Engage tab. The assignment tab will be named for the type and content of the assignment.
- Review the assignment before starting. The assignment tab contains details regarding the assignment, including:
- Session Details containing:
- Session Name assigned this activity
- Coaching Comments, typically these are directions to complete the assignment
- Due Date for the assignment to be completed
- Start Date that the user started the assignment
- Completed Date that the user completed the assignment
- Content that may contain:
- Recorded interactions
- Segments or portions of recorded interactions
- E-Learning documents
- Links to websites
- Other types of files
- Acknowledgment containing:
- Read Receipt: A read receipt check box is available for the user to select to indicate they have read and understand the assignment, if the requested in the assignment.
- Response text box: Directions in the Coaching Comments text box can be given to the user to provide written feedback to the supervisor, if requested in the assignment.
- Session Details containing:
- The user will then:
- Follow the directions given in the Session Details.
- Play all recordings or portions of recordings.
- Open, read and complete all attached documents or files required for the activity.
- Check the Read Receipt acknowledgment request.
- Enter Comments, as directed, into the Response text box. Note that when comments are entered here, this triggers the Comments column in the Activities tab to flag this assignment with the Comments icon, indicating comments are attached.
- Do one of the following:
- If the assignment is complete, click on the Receipt Confirmation check box.
- Click the Save button (if the assignment is completed). This action:
- Saves the assignment and sends notification to the user that assigned it.
- Marks the assignment as Completed in Coaching and E-Learning Activities window.
- Removes the assignment from the user's My Engage dashboard and updates the widget display.
- Click the Save button (if the assignment is completed). This action:
- If the assignment is not complete, DO NOT click on the Receipt Confirmation check box.
- Click the Save button. This action:
- Saves any work assignment work that has been completed.
- Does not change the state of the assignment, typically Started.
- Click the Save button. This action:
- If the assignment is to be closed without saving any activities being saved:
- Click the Close button. This action:
- Closes the assignment window.
- Does not save anything done to the assignment.
- Does not change the status of the assignment.
- Click the Close button. This action:
- If the assignment is complete, click on the Receipt Confirmation check box.
The agent can save their work in-progress made on the e-learning assignment by clicking on the Save button.
The agent is then returned to the My Engage - My Assignments window where the visual indicator may be updated to show state count changes or new assignments.
- If the assignment requires a confirmation, the agent must click on the checkbox next to the Confirmation Statement crafted at the time of assignment. The assignment does not go to Completed status until this checkbox is checked.
- If the assignment allows for agent feedback, the agent can enter comments in the last text box as required by the assignment instructions.
The status of the assignment is based on whether the agent clicks Save to save the confirmation and feedback or Close to leave the assignment in the current state.
- If the Confirmation Statement checkbox is not checked, the assignment status will be Started when the agent clicks Save.
- If the Confirmation Statement checkbox is checked, the assignment status will be Completed when the agent clicks Save.
- If the agent clicks Close, the assignment state will not change.
