Scheduling Reports

You can schedule reports or dashboards to be sent by email in PDF or Excel formats. You can schedule reoccurring reports for delivery by email to a list of specified recipients on a daily, weekly, or monthly basis that includes a single element (such as table) or all of the elements. You must have the default Administrator role or have a custom user role with the STANDARD_REPORTS_SCHEDULE_ALL permission to schedule reports or dashboards.

 

Please note:

  • Reports are sent from delivery@birst.com. If you or any intended recipients aren't receiving the scheduled reports, check your junk or spam folders and ensure that emails from delivery@birst.com are allowed.
  • Reports in Excel format must be 2 MB or less to be delivered by email. To verify the size of your report, export the report and view the size in the file's properties. If the file is larger than 2 MB, use filters to narrow your report's results and reduce the file size.

Scheduling a Full PDF Report

  1. Go to Reporting > Historical Dashboards.

    This opens historical dashboards. If you are scheduling a historical report, click Dashboards to open the Collections menu and then click Standard Reports.

  2. Select the report or dashboard that you want to schedule as a reoccurring email from the drop-down menu.
  3. In the top right corner, click the megaphone (Notification Center icon for CxEngage scheduled reports) to open the Notification Center.
  4. Click + to create a new scheduled report.
  5. Enter the report details:
    • Notification Name: The name of the scheduled report as it will appear in the notification center.
    • To: The email address(es) that are to receive the report. If you are entering more than one email address, separate them with a comma (,).
    • Title: Enter the subject line for the email notification.
    • Message: Optionally, enter a message to be included in the email notification.

      The following rich text formatting options are available:

      • Font family ()
      • Font size ()
      • Text and background color ()
      • Bold ()
      • Italics ()
      • Alignment ()
    • Repeats: Select the frequency that you that you want the report to be sent (Daily, Weekly, or Monthly). If you choose Weekly, select the day of the week that you want the report to be delivered. If you select Monthly, select the day of the month that you want the report to be delivered.
       If you schedule a report to send monthly on the 31st, it will send on the last day of any month that has less than 31 days.
    • At: Select the time (hh:mm), time of day (AM or PM), and time zone for the report to generate and send.
  6. Click Save.

After you save the notification settings, you can add more dashboards or reports.

  1. Go to the dashboard that you want to add.
  2. Open the Notification Center.

    If a notification shows a bell with paper icon behind it (), you can add more reports to it.

    • Add from the Notification Center:
      1. Click the downward pointing arrow () to open the Actions menu.
      2. Click Add Dashboard.
    • Add from the notification settings:
      1. Click the downward pointing arrow () to open the Actions menu.
      2. Click Edit.
      3. Under Dashboards, click Capture next to the dashboard name to add it .

        Click X to remove any dashboards you no longer want included.

      4. Click Save.

Scheduling a Specific Section of a Report in PDF or Excel Format

When you select an element, such as a table, in a report to schedule, you can choose to send it in PDF or Excel format. To schedule an element of a report or dashboard:

  1. Go to Reporting > Historical Dashboards.

    This opens historical dashboards. If you are scheduling a historical report, click Dashboards to open the Collections menu and then click Standard Reports.

  2. Select the report or dashboard that contains the element that you want to send by email.
  3. Hover over the element in the report or dashboard (for example, the table) that you want to send.
  4. Click the downward pointing arrow () to open the Actions menu.
  5. Click Create Notification.
  6. Enter the report details:
    • Notification Name: The name of the scheduled report as it will appear in the notification center.
    • To: The email addresses that are to receive the report. If you are entering more than one email address, separate the email addresses with a comma (,).
    • Title: Enter the subject line for the email notification.
    • Message: Optionally, enter a message to be included in the email notification.

      • Bold ()
      • Italics ()
      • Alignment ()

    • Attachment Format: Select PDF or Excel.

      Select the Include Details checkbox to include these additional details in the report: collection name, widget (dashlet) name, timestamp, and applied filters.

  7. Click Save.
