Creating Access Controlled Reports for Realtime Reporting

Use Access Controlled Reports to explicitly share reports and dashboards with users who have any role with the ASSIGNED_REPORTS_READ permission. This permission is included in the default Administrator and Access Controlled Supervisor roles. When you create access controlled reports, you can share the following:

You must have the default Administrator role or a custom role with the ASSIGN_REPORTS permission to create an access controlled report.

After you create the access controlled reports, you can add users to them.

 

If a user has a role with the ASSIGNED_REPORTS_READ permission but also a permission that allows them to view all reports (for example, VIEW_ALL_REPORTS) they can see any public and enabled report in the tenant. If you have users who should only see the reports explicitly shared with them, but can see all reports, review their role to see if they have a permission that grants them access to view or manage all reports.

For example, users with the default Administrator role have the ASSIGNED_REPORTS_READ permission, but also VIEW_ALL_REPORTS. Although reports and dashboards can be explicitly shared with administrators through Access Controlled Reports, Administrators have access to all reports on a tenant regardless of what is shared through Access Controlled Reports.

Individual Realtime Dashboards or Tables

To create an access controlled report for an individual realtime dashboard or table:

  1. Go to Reporting > Access Controlled Reports.
  2. Click Create.
  3. Enter a Name for the dashboard or table that you are restricting access to.
  4. Optionally, enter a Description.
  5. In Type, select Realtime
  6. For Realtime Report Type, select one of the following:
    • Standard: Enables you to select from the list of standard CxEngage realtime dashboards and tables.
    • Custom: Enables you to select from the list of realtime dashboards created for your tenant.
  7. In Realtime Report, begin typing the name of the dashboard or table.
  8. Click Submit.

    A Members section is now displayed below the access controlled report's configuration.

Adding Users to Access Controlled Reports

  1. In the Members section of the access controlled report being shared, click + to add users.

    A window opens with a list of users in your tenant who belong to a role with the ASSIGNED_REPORTS_READ permission.

  2. Click + next to any users that you want to have access to the dashboard or table.
  3. After you've added the users, click x to close the window.
  If you need to remove any users from an access controlled report, click the X next to their names. For long lists of users, use the First Name, Last Name, and Email filters at the top of the list to locate the user you want to remove. Begin entering the first name, last name, or email address of the user you want to locate and the list is filtered to show the users who match.

Enabling Access Controlled Reports

After you've configured an accessed controlled report, enable it by clicking the toggle in the panel and clicking OK in the confirmation message. Any users that you've granted access to the specified reports or collections can view them when they go to realtimereporting.
