Sharing Custom Reports, Dashboards, and Analyses in Historical Reporting

After you save a report , dashboard, or analysis, you can share it with other individual users in your tenant or with entire tenants. You can either share the item individually or share a folder that contains many reports or dashboards.

If an item is shared, the share icon next to it in the list is green (). If it isn't shared, it is gray (). Items that other users share with you are listed in the Shared With Me folder. You can create subfolders within the Shared With Me folder to organize the reports and dashboards.

  If you move an item that is shared with you (report, dashboard, or analysis) from the Shared with Me folder to one of your folders, it is still considered shared. If the owner of the item makes changes to the shared item, you will see these changes the next time you go to it. If you are currently viewing the item that the owner modified, refresh the page to see the changes

Sharing an Individual Item (Report, Dashboard, or Analysis)

  1. Click the Share () next to the report, dashboard, or analysis.
  2. In the Share window, locate the users or tenants you want to share the item with.

    Narrow the list by:

    • Entering a name in the Find search box
    • Selecting People (for users) or Groups (for tenants) in the drop-down menu next to the Find search box.

    Click the page number or the arrows at the bottom of the list to page through the list of users.

  3.  Click Share () next to the users and tenants you are sharing the report or dashboard with.

    Tenants are listed with the tenant's name under User Name and Group - <Tenant Name> under Tenant.

     To stop sharing a report or dashboard with a user, click Delete () next to their name
  4. Click Close.

Sharing Folders

If you share a folder with users in your tenant, any report, dashboard, or analysis that is added to the folder is also shared with those users.

  1. Hover your mouse over the folder that you want to share.
  2. Click Share ().
  3. In User Name to Add, begin entering the name of the user or tenant that you want to share the folder with.
  4. Select the user that you want to share the folder with.
  5. Click Add User ().
  6. After you've added the users that you want, click Close.

To stop sharing a folder with a user or tenant, click Delete () next to their name.
